Applies to: Vantage Group, Vantage Moving, VantageClean, VantageMoving.com, VantageCleanBoise.com, Docs.VantageMoving.com, and all future Vantage-operated websites, portals, forms, applications, systems, platforms, software, and customer-facing services (collectively, “Vantage,” “we,” “us,” or “our”).
Effective date: October 1, 2026
Our commitment: Protect People. Protect Property. Do The Job Right The First Time.
This Policy describes how Vantage collects, uses, shares, protects, and retains personal information. It is intended to give customers, applicants, employees, vendors, and website visitors clear and practical information about our privacy practices.
1. Introduction
Vantage Group supports and coordinates the operations of Vantage Moving and VantageClean. Vantage Moving provides moving and related services, while VantageClean provides residential and commercial cleaning and related services. Depending on the service, a customer may interact with one or more Vantage brands, but the privacy standards in this Policy apply across the Vantage organization. We collect information to deliver services safely, efficiently, and accurately; communicate with customers and our workforce; meet legal and insurance obligations; and improve our operations. We are committed to handling personal information responsibly and explaining our practices honestly. Our approach reflects our core values: Protect People, Protect Property, and Do The Job Right The First Time.
This Policy applies when you use a Vantage website, submit a form, request a quote, communicate with us, receive services, apply for work, use a Vantage portal or system, or otherwise provide information to Vantage. Some services, employment programs, or jurisdictions may require additional notices. If an additional notice conflicts with this Policy, the more specific notice will control for the situation it addresses.
2. Information We Collect
2.1 Customer and Service Information
We may collect a customer’s name, phone number, email address, physical address, billing address, move origin and destination, service location, access instructions, inventory or property details, service preferences, appointment details, signatures, communications, photographs or documentation related to a job, and other information needed to provide or support services.
2.2 Lead and Inquiry Information
When a person requests a quote or contacts Vantage, we may collect information submitted through quote requests, website forms, contact requests, appointment requests, calls, text messages, email, advertising forms, or social media. This may include the requested service, timing, location, referral source, and notes needed to respond.
2.3 Payment and Transaction Information
We may collect billing contact information, transaction amount, payment status, invoices, receipts, refunds, chargeback information, and limited payment identifiers supplied by a payment processor. Payment-card and bank-account data are generally collected or processed by secure third-party processors.
2.4 Employee and Applicant Information
We may collect employment applications, résumés, interview notes, employment records, payroll and tax information, benefits information, emergency contacts, time and attendance records, performance and training records, safety and incident records, driver information, motor vehicle records where permitted, licensing and certification information, background-screening information where permitted, and information needed to administer the employment relationship.
2.5 Vendor and Business Contact Information
We may collect names, business contact details, contracts, insurance certificates, tax forms, payment details, access credentials, and communications from vendors, contractors, professional advisers, referral partners, and other business contacts.
2.6 Technical and Usage Information
We may collect IP address, browser type, device type, operating system, pages viewed, referring pages, dates and times of access, approximate location derived from IP address, website analytics, cookie identifiers, portal activity, security logs, and diagnostic information.
2.7 Sensitive Information
Some operational, employment, payment, safety, or claims processes may involve information that is considered sensitive under applicable law. We seek to collect and use such information only when reasonably necessary and to apply safeguards appropriate to the information and its use.
3. How We Collect Information
We collect information directly from individuals, automatically through technology, and from permitted third parties. Collection methods may include: • Vantage websites, online forms, quote tools, cookies, analytics, and advertising technologies;
• phone calls, call recordings, text messages, email, and customer-support communications;
• customer portals, employee portals, scheduling systems, CRM systems, and other Vantage applications;
• job applications, onboarding forms, payroll systems, training systems, and in- person communications;
• social media pages, online advertising, lead platforms, referral partners, and review platforms;
• payment processors, background-screening providers, insurers, government agencies, and other authorized service providers; and • company vehicles, GPS units, dash cameras, telematics, security systems, and company-issued devices.
If you provide information about another person, such as a household member, emergency contact, employee, or service recipient, you should have authority to provide it and should share only information reasonably necessary for the requested purpose.
4. How We Use Information
Vantage may use personal information to:
• prepare estimates, schedule services, dispatch crews, plan routes, and coordinate job details;
• deliver moving, cleaning, and related services; document completion; and manage customer support;
• process credit-card, ACH, and other electronic payments; issue invoices and receipts; and manage refunds or disputes;
• communicate about quotes, appointments, service changes, arrivals, delays, claims, feedback, and account matters;
• support safety compliance, driver qualification, incident response, quality assurance, and insurance administration;
• administer recruiting, onboarding, employment, payroll, benefits, scheduling, training, performance, and separation processes;
• maintain records, comply with contracts and law, respond to legal requests, and establish or defend legal claims;
• send permitted marketing communications, measure advertising, understand demand, and improve customer experience;
• prevent fraud, misuse, theft, and unauthorized access; monitor security; and protect people, property, vehicles, systems, and information; • analyze performance, improve workflows, test systems, forecast staffing or service needs, and support responsible growth; and • carry out other purposes disclosed at the time of collection or with consent where required.
We seek to use information in ways that are reasonably connected to why it was collected and to limit access to people and providers who need it for legitimate work.
5. Email, Text Messaging, Mailed Letters, and Other Communications
Vantage may use text messaging to respond to inquiries, communicate estimates, confirm appointments, send arrival or service updates, provide customer support, request information, and send permitted marketing messages. Message frequency may vary. Message and data rates may apply based on the recipient’s mobile plan. Consent to receive marketing texts is not a condition of purchasing services. Customers may opt out of marketing messages at any time by replying STOP or by contacting Vantage using the information in Section 21. A recipient may reply HELP for assistance. We may send a final message confirming an opt-out. Even after a marketing opt-out, we may send non-marketing messages that are reasonably necessary to provide a requested service, respond to the recipient, protect an account, or meet legal or safety obligations. Carriers are not responsible for delayed or undelivered messages. Customers should keep their contact information current and should not send highly sensitive information by text unless specifically instructed through an approved secure process.
5.1 Email Communications
Vantage may use email to respond to inquiries, provide estimates and proposals, confirm or update appointments, deliver invoices and receipts, share service documents, communicate about claims or customer support, administer accounts and portals, communicate with applicants and employees, and send other operational or legally required notices.
Vantage may also send newsletters, promotions, service reminders, review requests, and other marketing emails where permitted by law. Recipients may opt out of marketing emails at any time by using the unsubscribe link in the message or by contacting Vantage under Section 21. An opt-out from marketing email does not prevent Vantage from sending transactional, service, safety, billing, employment, account-security, or legal communications that are reasonably necessary.
Email delivery is not guaranteed and messages may be delayed, filtered, misdirected, or accessed by an unintended recipient. Individuals should keep their email address current, use caution when opening links or attachments, and avoid sending passwords, complete payment-card or bank-account information, government identification numbers, or other highly sensitive information through ordinary email. Vantage may use approved email- security, filtering, archiving, and monitoring tools to protect systems, support operations, preserve business records, and investigate suspected fraud, misuse, or security incidents.
5.2 Mailed Letters and Physical Correspondence
Vantage may send letters, postcards, notices, estimates, contracts, invoices, receipts, statements, claim documents, employment materials, tax documents, collections correspondence, marketing materials, and other business communications by the United States Postal Service, certified mail, overnight carrier, courier, or another delivery service. Vantage may use the mailing address provided by the recipient, obtained through a customer or employment relationship, or lawfully received from an authorized service provider or public source. Recipients are responsible for providing a current and accurate address. Mail may be visible to other people at the delivery location, and Vantage cannot guarantee the privacy or successful delivery of correspondence after it is placed with a postal or delivery service.
Recipients may ask Vantage to stop nonessential promotional mail by contacting Vantage under Section 21. That request does not prevent Vantage from sending service-related, billing, safety, claims, employment, collections, account, contractual, or legally required correspondence. Vantage may document mailing dates, delivery status, returned mail, address corrections, tracking information, and copies of correspondence for operational, accounting, insurance, claims, employment, or legal purposes.
6. Call Recording
Calls to or from Vantage may be monitored or recorded where permitted by law. When notice or consent is required, Vantage will seek to provide it through an announcement, written notice, or another appropriate method.
Recordings may be used for quality assurance, employee training, safety investigations, customer-service improvement, dispute resolution, fraud prevention, legal documentation, and protection of customers, employees, property, and the Company. Access is limited based on business need, and recordings are retained according to operational, legal, insurance, and claims requirements.
If a caller does not wish to be recorded, the caller may ask whether another reasonable communication method is available. Availability may depend on the purpose of the call and applicable requirements.
7. GPS Monitoring and Vehicle Technology
Company vehicles and equipment may use GPS, dash cameras, telematics systems, route monitoring, engine and vehicle diagnostics, and other safety or fleet technologies. Depending on the system and configuration, these technologies may collect location, route, speed, braking, acceleration, vehicle status, driving events, video, audio where lawfully enabled, and date-and-time information.
Vantage may use this information for driver and public safety, dispatch and route planning, fleet management, customer-service verification, maintenance, vehicle or equipment recovery, theft prevention, coaching, insurance administration, incident investigations, claims management, and legal compliance.
Monitoring is intended for legitimate business, safety, and security purposes. Authorized personnel and service providers may access information on a need-to-know basis. Employees operating covered vehicles or equipment must follow applicable Company notices, policies, and consent requirements.
8. Company-Issued Devices
Company-issued or Company-managed phones, tablets, computers, accounts, networks, applications, and related systems are business resources. To the extent permitted by law, Vantage may monitor, manage, secure, support, locate, restrict, preserve, or remotely remove Company information from these resources.
Vantage may use mobile device management and other tools for security monitoring, access control, data protection, software deployment, operational support, compliance, troubleshooting, and device recovery. Activity and security logs may be reviewed to investigate suspected misuse, loss, theft, malware, unauthorized access, safety concerns, or violations of Company policy.
Users should not expect personal privacy in Company data or business activity on Company-issued devices except where applicable law provides otherwise. Personal use, if allowed, should be limited and must follow Company policy. Vantage will seek to avoid accessing personal content that is unrelated to a legitimate business, security, or legal purpose.
9. AI Systems and Automation
Vantage may use artificial intelligence, automated systems, workflow automation, data analysis, customer-service tools, scheduling tools, documentation systems, fraud- detection tools, and similar technologies. These systems may assist with organizing information, drafting communications, routing requests, scheduling work, reviewing documentation, summarizing records, identifying patterns, supporting safety, and improving administrative processes.
We use these tools to improve operations, efficiency, accuracy, customer service, safety, consistency, and decision support. We seek to use information that is appropriate for the task, apply access and vendor controls, and evaluate tools before or during use based on the sensitivity and risk of the intended activity.
AI output may be incomplete or incorrect and should not be treated as automatically final. Decisions involving employment, discipline, compensation, legal matters, claims, high- impact safety issues, or major customer matters may involve meaningful human review. Vantage personnel remain responsible for applying judgment, checking material facts, and escalating concerns when appropriate.
Vantage does not authorize employees or vendors to enter confidential, sensitive, or customer information into unapproved public AI tools. Approved systems must be used in accordance with Company security, confidentiality, records, and acceptable-use requirements.
10. Cookies and Website Tracking
Vantage websites and online services may use cookies, pixels, tags, local storage, analytics, and similar technologies. These technologies may remember user preferences, keep forms or portals working, support security, measure website performance, diagnose errors, understand site use, and evaluate marketing effectiveness. Some technologies are necessary for site functions or security. Others may support analytics or advertising. Where required, users will be offered choices through a consent tool or similar notice. Users may also control cookies through browser settings, delete stored cookies, or use available device or advertising-platform controls. Blocking some technologies may cause parts of a site or portal to function differently or not work. Browser-based “do not track” signals are not interpreted consistently across the industry. Vantage will respond to legally recognized preference signals where required and technically supported.
11. Payment Information
Vantage uses secure third-party payment processors to support credit-card processing, ACH payments, and other electronic payments. These processors may collect payment- card numbers, bank-account details, authentication information, billing addresses, and transaction data under their own terms and privacy practices. Vantage does not intentionally store complete credit-card or bank-account information beyond operational necessity. We may retain limited information such as a token, card brand, last four digits, transaction identifier, payment status, invoice, receipt, authorization record, or information needed for accounting, refunds, disputes, fraud prevention, and legal compliance.
Customers should submit payment information only through payment methods approved by Vantage and should promptly report suspected unauthorized activity to their financial institution and Vantage.
12. How We Share Information
Vantage does not sell customer personal information. We may disclose information when reasonably necessary for legitimate operations, a requested service, safety, security, or legal compliance. Recipients may include:
• payment processors, banks, payroll providers, and accounting providers; • insurance carriers, brokers, adjusters, claims administrators, and risk advisers; • technology vendors, hosting providers, CRM providers, communications platforms, analytics providers, security providers, and other service providers; • contractors, referral partners, or service partners involved in a requested service, subject to appropriate controls;
• legal counsel, accountants, auditors, consultants, and other professional advisers; • government agencies, regulators, courts, or law enforcement when required or permitted by law; and • a successor, purchaser, lender, or adviser involved in a merger, financing, reorganization, sale, acquisition, or transfer of all or part of the business, subject to appropriate confidentiality protections.
We expect service providers to use information only for authorized purposes and to protect it appropriately. We may also share information with consent or at an individual’s direction. We may disclose information when we reasonably believe it is necessary to protect a person, prevent fraud or misuse, protect property or systems, investigate an incident, enforce an agreement, or establish, exercise, or defend legal rights.
13. Data Security
Vantage uses administrative, technical, and physical safeguards designed to protect personal information based on its sensitivity and the circumstances. Measures may include encryption in transit or at rest where appropriate, role-based access controls, password and authentication requirements, device and network protections, backups, logging, employee training, confidentiality obligations, incident-response procedures, and vendor management.
Employees and contractors are expected to access personal information only as needed for authorized work, protect credentials, use approved systems, report suspected incidents promptly, and follow applicable security policies. Vendors that handle personal information may be evaluated based on the service, data involved, and level of risk. No system, transmission method, or storage environment is completely immune from risk. Vantage cannot guarantee absolute security, but we work to reduce foreseeable risks and respond appropriately when a suspected security incident is identified.
14. Document and Information Retention
Vantage retains information for as long as reasonably necessary for the purposes described in this Policy, including operational needs, customer service, legal obligations, insurance requirements, tax and accounting requirements, employment records, customer records, safety documentation, claims management, dispute resolution, security, and enforcement of agreements.
Retention periods vary depending on the type of record, the service involved, applicable law, contractual obligations, limitation periods, pending claims or investigations, and technical needs such as backup cycles. When information is no longer needed, Vantage may delete it, de-identify it, or securely dispose of it according to applicable procedures. Legal holds or other preservation duties may suspend normal deletion.
15. Children’s Information
Vantage services and websites are not directed to children under 13, and Vantage does not knowingly collect personal information directly from children under 13 through its general websites or marketing activities. A parent, guardian, or authorized adult should provide information when services involve a minor or the minor’s property. If Vantage learns that it collected personal information directly from a child under 13 without appropriate authorization, we will take reasonable steps to delete or otherwise address the information. A parent or guardian who believes a child submitted information may contact us using Section 21.
16. Third-Party Websites and Services
Vantage websites, messages, or portals may link to third-party websites, applications, maps, social media services, payment pages, review platforms, or other services. Vantage does not control and is not responsible for the privacy, security, content, or availability of external services.
A link does not necessarily mean that Vantage endorses the third party. Users should review the privacy notice and terms of each external service before providing information. This Policy applies only to information handled by or on behalf of Vantage.
17. Employee Privacy
Vantage may maintain employee and applicant files containing payroll information, tax records, benefits records, emergency contacts, driver and licensing information, safety records, training records, time and attendance information, personnel records, performance documentation, investigation materials, and other information needed to manage the employment relationship.
Employee information is accessed on a need-to-know basis by authorized personnel and approved providers. Information may be used for recruiting, workforce planning, scheduling, payroll, benefits, training, safety, performance management, investigations, insurance, legal compliance, and protection of Company resources. Employees must protect personnel and customer information, use approved systems, and report suspected loss or unauthorized access. This section is a general privacy statement and does not replace any more specific employee notice, handbook requirement, signed authorization, collective agreement, or legally required disclosure.
18. Customer Privacy Rights and Choices
Customers may ask Vantage to provide reasonable access to personal information associated with them, correct inaccurate information, or update communication preferences. Depending on applicable law and the nature of the request, additional rights may apply, and certain exceptions may limit what Vantage can provide, change, or delete.
18.1 How to Submit a Request
Send a request to the email or mailing contact identified in Section 21. Include your name, contact information, relationship with Vantage, the Vantage brand or service involved, and a clear description of the request. Do not send highly sensitive identifiers or complete payment information by ordinary email.
18.2 Verification and Authorized Requests
To protect privacy and prevent fraud, Vantage may verify identity and authority before acting. Verification may involve matching information already on file or requesting reasonable supporting information. An authorized agent may be required to provide proof of authority, and Vantage may contact the individual directly where permitted.
18.3 Responses and Limitations
Vantage will respond within the time required by applicable law. We may deny or limit a request when necessary to protect another person’s privacy, preserve security, comply with law, retain records required for contracts, taxes, insurance, employment, safety, claims, or legal matters, or where another lawful exception applies. We will explain a denial when required.
18.4 Communication Choices
Customers may unsubscribe from marketing email using the link in the message, opt out of marketing texts as described in Section 5, and request that nonessential promotional mail stop by contacting Vantage under Section 21. Service, safety, billing, claims, employment, collections, account, contractual, or legal communications may still be sent when necessary.
19. Legal Compliance
Vantage seeks to comply with applicable federal and state privacy, communications, employment, payment, records, and security requirements. Because requirements vary by jurisdiction and may change, particular services or users may receive additional notices, consent requests, or choices.
Information may be preserved or disclosed when required by subpoena, court order, legal process, regulation, government request, insurance obligation, or other applicable law. Vantage may also disclose information where permitted to protect rights, safety, property, systems, customers, employees, or the public; investigate suspected wrongdoing; or establish, exercise, or defend legal claims.
This Policy describes Vantage’s privacy practices and is not intended to create rights beyond those provided by applicable law or a written agreement.
20. Changes to This Policy
Vantage may modify this Policy from time to time to reflect changes in services, technology, business practices, legal requirements, or risk. The current version will be posted through an appropriate Vantage website or document portal with an updated effective date.
If a change is material, Vantage may provide additional notice when appropriate, such as a website notice, email, portal message, or other communication. Continued use of Vantage services after an updated Policy takes effect will be governed by the revised Policy to the extent permitted by law.
